Our church is actively seeking a Part-Time Administrative Assistant.

Job Title: Administrative Assistant

Reports to: Personnel Team and/or Pastor

Employment Type: Part-Time

Hours: 15 hours per week

Compensation:  $13.50 per hour worked

Location: Northgate Baptist Church, Beckley, WV


Position Summary:

The Church Administrative Assistant plays a crucial role in the daily operations of the church by offering administrative, financial, and communication support to the pastor, staff, and congregation. This role ensures the smooth functioning of the church office and upholds the church's mission and vision through organized and professional support services.


Primary Responsibilities:

1. Financial Administration

  • Accurately record weekly tithes, offerings, and other donations in the church’s financial system.
  • Create weekly, monthly, and yearly giving reports for leadership and financial committees.
  • Keep all donor and tithing records confidential.
  • Process and track church bills; ensure timely payment of utilities, vendors, payroll (if applicable), and other routine expenses.
  • Collaborate with the church treasurer and/or stewardship and finance team as needed to reconcile accounts and keep accurate financial records.


2. Office Administration

  • Act as the initial point of contact for phone calls, visitors, and email correspondence during church office hours. 
  • Maintain and organize church files and records, both digital and physical.
  • Oversee and coordinate inventory for office, worship, kitchen, and janitorial supplies.


3. Communications and Public Relations

  • Create and post regular updates on the church’s media platform (Realm), including events and announcements.
  • Create and send weekly printed materials as required.
  • Manage and maintain the church-wide contact list for communications and emergency alerts.
  • Coordinate communication between ministry leaders, staff, and the congregation.
  • Assist in creating promotional materials for church events, both print and digital.


4. Church Calendar and Events

  • Maintain and coordinate the master church calendar, including worship services, ministry events, weddings, funerals, meetings, and building usage.
  • Assist in scheduling meetings and events in collaboration with church leadership and ministry heads.
  • Ensure clear communication of calendar items to the congregation via Realm and email.


Qualifications:

  • High school diploma or equivalent; an associate’s or bachelor’s degree is preferred.
  • Experience in office administration, preferably in a church or nonprofit setting.
  • Proficiency in office software (Microsoft Office) and church management software (e.g., QuickBooks, Realm, or similar).
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A heart for ministry and a commitment to the mission of the church.


Work Environment:

  • An in-office setting with three 5-hour shifts during Church office hours (Tues.-Thurs. 9am-2pm)
  • Occasional evening or weekend work may be required for special events or seasonal responsibilities.
  • Collaborative work environment with the pastor, ministry leaders, volunteers, and congregation.
